Legal Operations Specialist (m/f/d)

Your Tasks:

  • Provide administrative and executive support to senior leaders in the Legal Department.

  • Manage calendars, recurring meetings, agendas, minutes, and meeting materials.

  • Facilitate virtual meetings and handle internal/external correspondence.

  • Oversee contract and document workflows, including signature coordination and filing.

  • Maintain electronic and physical records, repositories, SharePoint sites, and Teams folders.

  • Support onboarding, training coordination, engagement activities, and communications.

  • Manage travel, expenses, mail, courier shipments, facilities/IT queries, and event logistics.

  • Draft, proofread, and prepare business correspondence and documentation.

  • Contribute to process documentation and improvements within Legal Operations.

Your Profile:

  • Several years of administrative experience; legal or law firm experience preferred.

  • Strong organizational, time-management, and prioritization skills.

  • High attention to detail, proactive mindset, and strong ownership of tasks.

  • Excellent communication skills and ability to work with diverse stakeholders.

  • Proficiency in MS Office, MS Teams, Zoom, and SharePoint.

  • Ability to work effectively in international and multicultural environments.

  • High discretion, confidentiality, and a service-oriented attitude.

  • Tech-savvy and comfortable adopting new tools and digital processes.

  • Fluent in English; good German skills strongly preferred.
