Senior Project Manager

The Project Manager will lead the implementation and certification support of an ISO 41001:2018 compliant Facility Management System (FMS) and ISO 14001 and 45001 compliant HSE Management System across the client´s various locations in KSA.  The project will last 10 months.

This role requires a highly organized and experienced project manager with a strong understanding of workplace and facilities management (soft and hard services), occupational health, safety and environmental, fire safety, security, ISO standards, risk management, and process improvement methodologies. The Project Manager will be responsible for overseeing all aspects of both projects, from initial planning and system development to implementation, training, internal audits, and achieving certification.

The role demands significant technical expertise, strong project management and effective leadership.

The candidate will handle all day-to-day activities for both projects ensuring key deliverables are planned and implemented on schedule.

Past Experiences:

The candidate must have experience in supervising the design and development of HSE and Facility Management Systems from inception to handover (Quality Management would be a plus). The candidate should possess extensive experience in leading and contributing to consulting projects about management systems development and implementation (e.g. ISO 9001, ISO 14001, ISO 45001, ISO 41001) in diverse sectors, including but not limited to public sector, manufacturing, construction, and energy. Their history of successfully executing similar projects underscores their ability to guide organizations towards enhanced safety compliance, risk mitigation, and process efficiency. The profile should have:

Ø  Proven track record of successfully managing complex projects, preferably in health, safety, environmental, facility management, quality management, or a related field.

Ø  Demonstrable experience in implementing and achieving certification for ISO management system standards (e.g., ISO 9001, ISO 14001, ISO 45001, or ideally ISO 41001).

Ø  Experience in developing, reviewing and implementing policies, procedures, and processes within a large organization.

Ø  Strong understanding of risk management methodologies (e.g., ISO 31000) and experience conducting risk assessments and opportunity analysis.

Ø  Strong understanding of fire safety and emergency response management within large offices and manufacturing facilities.

Ø  Good understanding of security practices and arrangements within facilities management.

Ø  Experience in conducting internal audits and managing corrective actions.

Ø  Experience in delivering training and facilitating workshops.

Ø  Experience working with cross-functional teams and managing stakeholders at all levels.

Ø  Experience with LEED certification requirements and their integration within management systems is a plus.

Ø  Experience in automotive or manufacturing industries is preferred.

Key Responsibilities in the Project:

Ø  Lead and manage the entire projects, ensuring adherence to timelines and budget.

Ø  Develop comprehensive projects plan, including scope, objectives, deliverables, timelines, and resource allocation.

Ø  Oversee the development of the FMS and HSE MS, including policies, procedures, processes, and documentation, in accordance with ISO 41001, ISO 14001 and ISO 45001 requirements.

Ø  Conduct context analysis, interested parties’ analysis, and risk/opportunity analysis in line with ISO 31000.

Ø  Conduct SWOT analysis and international benchmark analysis to identify best practices.

Ø  Integrate LEED certification requirements within the developed FMS.

Ø  Define FM Key Performance Indicators (KPIs) and establish a system for monitoring and reporting performance.

Ø  Define roles and responsibilities within the facility management organization.

Ø  Conduct system analysis of existing management systems (ISO 9001, ISO 14001, ISO 45001) to ensure integration with the new FMS.

Ø  Develop and deliver FMS awareness training to relevant personnel.

Ø  Support the planning and execution of internal audits and assist in closing out identified nonconformities.

Ø  Facilitate management review meetings and ensure appropriate follow-up actions.

Ø  Manage the relationship with the certification body and ensure successful completion of the certification audit.

Ø  Monitor and report on project progress to senior management.

Ø  Provide support during external certification audits and address any non-conformities.

Ø  Lead and direct the on-site consultants to ensure key deliverables are met and achieve the required quality.

Ø  Coordination of day-to-day activities within the on-site consultants (including resource planning, recruitment and professional development).

Requirements

Knowledge and Background:

Ø  Proven knowledge gained within facilities management (over 15 years).

Ø  Proven background in implementing significant facilities management improvement projects within GCC or similar regions.

Ø  Advanced knowledge of ISO 41001 Facilities Management.

Ø  Knowledge of health and safety related to facility management (including fire safety and ISO 45001 / 14001 management systems).

Ø  Proficiency in facilities management software and tools.

Ø  Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal and external stakeholders.

Certifications & Other Qualifications:

Ø  Internationally recognized bachelor’s degree (or higher such as master’s degree) in facilities management or related field. This foundation provides the necessary knowledge to navigate complex FM and HSE challenges.

Ø  Institute of Workplace and Facilities Management (IWFM) or equivalent professional Level 4 qualification.

Ø  HSE Certifications such as NEBOSH International Diploma Level 6 or equivalent.

Ø  Membership in relevant professional organizations (e.g., IWFM) is a plus.

Ø  Professional level certifications in ISO 41001, 45001, 9001, and 14001 (such as Lead Auditor).

Ø  Tertiary qualifications within Fire Safety, Security and Quality Management would also be an advantage.

Languages:

Fluency in English is essential, enabling effective collaboration with diverse stakeholders, conducting training sessions, and preparing comprehensive reports.
