Administrative Assistant (m/w/d)

Tasks and Responsibilities:

  • Supports assigned leaders and teams with a variety of advanced administrative and operational activities including but not limited to scheduling and coordinating onsite/offsite meetings and/or events
  • Manage the agenda of the leader(s), according to best practice time management principles and coordinates domestic/international travel and conference calls
  • Coordinating the preparation of department budget, including monitoring expenses against budget, researching and analyzing any discrepancies; Creating and submitting purchase orders and compiles expense reports
  • Manage intranet and gDrives and assists with filing and organization of information
  • Provides support on editing and formatting executive-level presentations
  • Serves as the “go-to-person” for general operational or administrative inquiries
  • Supports the training and onboarding of new staff in administrative processes, systems, practices and tools as well as supports project work, planning and organization of meetings and events
  • Partners with other personal assistants and team members on a routine basis and provides backup support to leadership, demonstrating flexibility, adaptability and positive demeanor in the face of change; provides backup support to teams outside of own work area and across functions, as necessary

Your Profile:

  •  You have 5+ years of administrative assistant experience
  • You have 2+ years of experience supporting senior/executive level leaders
  • You are proficient with Google Workspace including (Google docs, Sheets, Slides, Forms, Gmail, gCal, gDrive, gMeet, and Calendar etc.)
  • You have financial experience for effective and efficient tracking,of departmental budgets
  • You have strong organizational skills and the ability to be extremely flexible while managing conflicting, shifting and competing priorities with minimal direction.
  • You have demonstrated experience handling confidential and complex issues; working in a discreet environment
  • You are a proactive self-starter with excellent judgment who can work independently and anticipate the executive's needs as well as make critical decisions
  • You are a quick learner, solution oriented, proactive to the dynamic needs of the organization
  • You have demonstrated verbal and communication skills; the ability to communicate clearly, concisely, thoroughly and in a highly professional and timely manner
  • You are able to be onsite in Basel
  • English fluent
